• Zapier Automation: New accounts are automatically pulled in, but only the parent is imported. The Lead and Newsletter tags will be applied, and any additional tags must be manually updated.

• Ensure student has been added to StudioSync.

• Assign tags:

• Returning Student or New Student

• Newsletter

• If the student is brand new, add tag New Student this starts the 6-week onboarding sequence.

• If the student is returning, ensure they have Returning Student. This will triggers season onboarding sequence.

• Remove Enrolled Student tag.

• Add Lead tag.

• Keep Current Season tag.

• Keep Newsletter tag.

Returning Student

• Current Season tag ensures they receive automated season information.

• Returning student tag ensures they receive the onboarding sequence.

New Student

• Current Season tag ensures they receive automated season information.

• New student tag ensures they receive the onboarding sequence.

Email templates. If you're adjusting a template be sure that it is still titled appropriately. Anything saved will overwrite the template. If you want to use an existing template but change who it's directed at or adjust the content drastically save the template as a new template before making changes to create another template.

1. Contact Status

• Contact – Lead → Contact has reached out but is not currently enrolled (may have past history).

• Contact – New Student → New to the studio (removed after onboarding).

• Contact – Returning Student → Returning student (removed after onboarding).

• Enrolled – 2024/25 Student → Student was enrolled or ended the 2024/25 season enrolled.

• Enrolled – 2025/26 Student → Student is currently enrolled or will finish the 2025/26 season enrolled.

2. Trials

• Trial – Free Trial Booked → Contact has booked a trial class (added to contact in automation when they’re added to the free trial booked automation).

• Trial – Free Trial Class No Show → Added when dancer’s contact is added to the no-show reschedule automation.

• Trial – Free Trial Completed – Follow Up → Tag is added briefly so that the automation can push the contact through to the next automation.

• Trial – Free Trial No Show → Added if dancer does not attend the trial class (moves contact to no-show follow-up automation).

• Trial – Trial Requested → Contact has requested a trial (adds contact to automation).

• Trial – Trial Completed → Contact’s dancer has completed the trial (added at the beginning of attended follow-up automation).

• Trial – Trial Confirmed → Once the contact has booked a trial (moves contact to free trial booked automation).

• Trial - Bring a Friend Week

• Trial - Bring a Friend Week - Sept 2025

3. Seasons

• Season – 2022/23 → Student was enrolled at some point during this season.

• Season – 2023/24 → Student was enrolled at some point during this season.

• Season – 2024/25 → Student was enrolled at some point during this season.

• Season – 2025/26 → Student was enrolled at some point during this season.

4. Programs

• Program – 2025/26 Preschool → Student in full-year preschool program.

• Program – 2025/26 Preschool Sessional → Student in at least one preschool sessional.

• Program – 2025/26 Preschool Sessional [Month]→ Student in a sessional beginning this month.

• Program – 2025/26 Competitive → Student registered in 2025/26 Competitive Program.

• Program – Adult Classes → Contact interested in adult classes or has taken a class.

• Program - 2025/26 Adult Sessional [Month] → Contact was registered for sessional.

• Program - 2025/26 Adult Drop In → Contact has done at least one drop in with us
